@Sigurd I was hoping I’d have longer in Quick Assist but understand the reason.
A few things I’d of liked to have completed. I’d actually be more at ease if we found more time for me to finish up.
1. You can safely delete the IMAP address after you double check and compare that you have everything. I believe I successfully copied it all into the POP3/PST.
2. In Outlook, double click on the “POP3” email address and
unselect the
Remove from server after 14 days.
Leave the
Remove from server when deleted from deleted items” checked.
(Open Outlook and select File. Use the dropdown under Account Information to select the account you want to change (POP3). Select Account Settings.)
But this is not a given, it can depend on server side site-wide retention policies and that the DELE command to delete mail from the server, communicates correctly.
Meaning you could end up with a massive server side mail content size. There is a lot to it, I get lost in my WHM server trying to make sense of it sometimes. (Thank God for the server support assistance team)
This is where logging into your YNH PLEX panel (server side) is encouraged after you’ve sorted everything (PC side)
Like I said, POP3 is more work.
3. In the “Backup” settings, you can move the location of where the backup is saved.
I placed the backup in the Documents\Outlook Files\
folder due to the time we had. You could change the location of the backup to wherever you like.
Just cut and paste that folder to where you want it, then go back into settings and change it accordingly to point to that folder.
4. After we finished, Id of preferred to have removed everything from Outlook and used the new PST file to start your account from scratch, IMAP and PST files shouldn’t share a profile (even Microsoft says that) a fresh start would be great.
5. Now that we have created your POP3 address and PST file: Please know that IMAP/OST and POP3/PST are very different, POP doesn’t “Sync” like IMAP.
In all truth, POP3 is actually more work but can potentially save more space on the server if maintained correctly.
IMAP is in fact easier to maintain, but can potentially overload you allotment as you know.
- If you create a folder in the PST address in Outlook, like you did with that “IMAP” folder you created. (Note that it won't make that folder on the server, PST is user side only) Make sure you’re working with the POP3 and not the IMAP address as we haven't removed the IMAP yet
- You could COPY the (I wont say how many there are) mail in the inbox to another folder, like “Old Mail” and then delete the originals from the inbox. Theoretically, when you then empty the deleted items folder, it should delete from the servers inbox (at least that is what it is supposed to do as per the settings in the Step 2 image.) and free up space to make the host happy. As long as the DELE command is received properly server side (That’s a whole other conversation)
6. Id like to look at the PLEX server panel and show you how to maintain your mail via PLEX. We
could also do that in Quick Assist.

Remember, the PST file lives in the
Documents\Outlook Files\
folder, and not where your OST files are.
