Solved Help me change Outlook from IMAP to POP


Somehow in all the moving and changing PST files, I got to a place where I had to enter the Earthlink password for the 031724 PST again. Then it went and got all the emails now on the Earthlink server, but it doesn't have any of my very old emails (which is not unexpected). But my calendar and contacts are gone, as are the very old emails I'm trying to preserve.

I'm such a klutz.

No you’re not Dave, you just haven’t done this before and it isn’t always easy.

No you don’t need to uninstall Outlook, however if it makes it easier for you, go ahead.
But remove all PST files except the one you want to use (put them in that backup folder)
Keep the one you do want to use inside “Documents/Outlook Files” folder
You can rename it if you like.

Reinstall Outlook, then follow that tutorial.
The important things to follow are that A. You’re creating a POP3 email address B. You’re directing Microsoft to use the PST of your choice.
You can do it, and even if you can’t, well keep going, Dave.

Building the doggone computer is like putting together a jig saw puzzle, but this stuff is really hard.

I'm leaning toward uninstalling Outlook, then zipping up all the PST files except the one I want. Is there anything I need to do to make sure all the remnants of Outlook are completely gone?

You could remove or backup the OST (IMAP) files if you want. They are no good to you as you want to use PST.

OST files are in Users\your user name\AppData\Local\Microsoft\Outlook

You need to make sure Windows hasn’t kept the DATA file in the Outlook info.
Data files can also be accessed via Control panel

PLEASE BACKUP AND MOVE THE ONE YOU WANT TO USE FIRST. You can put it back into Documents/Outlook Files” later. ALWAYS make sure you have one copy of that PST somewhere that you never use, as a backup.

Close Outlook

1-Click on Start, search for Control Panel and click on that
2- Type: Mail in the search box in the upper right corner, then click on "Mail (Microsoft Outlook)" and a new window will be opened. Profiles/Data Files/Email Addresses can all be removed in there.
3-Select your profile and click on the "Properties" button, then click on the "Data Files... so on so forth"

Uninstall Outlook?

I fumbled around until I found myself at this point, which seemed like a positive development. However, when I use these settings:

I get a message saying "We couldn't connect to the outgoing (SMTP) server. Please check the settings and try again."

After lunch and nap time, I'm going to check the settings on my wife's computer.

Admins, thanks for blotting out the personal stuff I shouldn't have shown.

I'm now using port 110 for the POP server and 587 for SMTPAuth.

Even when I delete Outlook and delete the PST file 031724, When I reinstalled, it was still pointed to that PST upon startup. I've renamed the one from May of '23 to be plain old Outlook Data File. The PST file 031724 is nowhere on the C drive (except inside a zip).

When I force Outlook to go my preferred PST I see a bunch of old emails, but my calendar and contacts are still missing.

Doggone it!

Edit: I did everything again with the same outcome.

I've tried deleting and reinstalling 3 or 4 times, each time pointing Outlook to a PST that should be old enough to have my calendar and contacts. None of them did.

Somehow, all the remnants of Outlook are not deleted. I know this because every time I start Outlook after deleting and reinstalling, it asks me for the name of the last PST file I used. Because I'm inexperienced at all this stuff, I'm not confident that it's really using the new PST file I pointed to.

I'm tempted to wipe the drive and reinstall Windows. But not right now. Instead I'm going to read a book and rest my brain for a while. It's getting overheated!

I’ll attack one thing at a time.

Look at the settings on your image, now look at the required settings for your ISP. Note the differences. The settings above are using “Non Secure” The secure settings are as follows:

  1. Pop Incoming Server: pop.earthlink.net
  2. Incoming Port Number: 995
  3. Incoming Security Setting: SSL/TLS
  4. Authentication is Required: Use your full email address and password.
  5. Outgoing Server: smtpauth.earthlink.net (same for all EarthLink domains)
  6. Outgoing Port Number: 587
  7. Outgoing Security Setting: STARTTLS
  8. Authentication is Required: Use your full email address and password.

This wont change what’s happening in your Outlook.

Hey Dave, what can you see on the left side of your Outlook in the Left Outlook Pane?

Set it to Folders. I am now suspecting you're not in the view you're used to seeing.

Old profiles, data files, email addresses can all be removed in control panel after uninstalling Outlook (Bottom of post #44)
You possibly hadn’t removed them before reinstalling outlook. But this shouldn’t be happening if you have told Outlook to use an existing data file for that email address.

After setup, to confirm you’re using the correct PST, you can check by looking in the data files tab. (Post #30)

1 Once Outlook is running, you can open as many of your old pst files as you want to look for the ones containing the data you want.

I can see from your post #41 diagram that you already know how to open additional pst files because that diagram shows you have opened the same one twice.


2 Then, when you have identified the one(s) you want to copy information from, I suggest you create an additional pst and copy them all into there.
- It's just like dragging & dropping in File explorer.
- Make sure you press the Ctrl key as you drag them so that you are copying not moving.


3 Do make sure you close the pst files afterwards otherwise Outlook will re-open them all when you run it again.
To close pst files, I just right-click on their entry in the Outlook Navigation pane and select Close.


4 Then rename the PST file containing the stuff you want to something simple like Outlook.pst and zip up all the others.
- You can also take advantage of this opportunity to put your main pst file wherever it is you would like it.
- - Mine are in folders that are included in my routine backup procedures.
- - Put your pst file where you want it and check that you have not left a copy in that original folder.
- - When Outlook next opens, it will complain that you have not got a pst file and it will let you browse to the new location.
- - Once you have selected your chosen one, Outlook will always open it when it runs.

When looking at mail, this is the view I have now. Lots of the old folders I used to have are no longer there.

At least I can now send and receive email. Still working.
