Solved Microsoft's POP3 email problem


If you're not using the Gmail generated app password, then it will NOT work.
Are you saying that everyone who uses Outlook uses a 16-character password generated by Google? (I don't think so.)
Tip: Usually, you’ll need to enter an app password once per app or device.
Are you saying that everyone who uses apps uses a different 16-character AppPassword (I'm sticking with AppPassword as one word!) for every app and every device? (I don't think so.)

Like @z3r010 suggested, I would just use IMAP (and I do)

I understand you have reasons you like pop, so do I.
I don’t know if my server might die one day, which would be tragic for my wife's business, if my wife loses all her mail, it’s pretty much a possible catastrophe. Backups would be useless because they are on the same server (dumb I know) Also, I cant afford the many gigabytes of space all of the combined domains use for the mail accounts on it. (mostly my wife's domain/accounts)

So to fix this, I created a .pst file that sits at the top of outlook. (you already have one) In that .pst I have created a folder structure, (you would already have one) my wife has added to that folder structure as she desires, as follows
(I know you are familiar with .pst, regardless..)


Structure:

Name of pst file
The default folders that outlook creates but obviously aren't used (because there is no email address attached to it) and the folders she creates to save her emails to the .pst

inbox
outbox
sent
etc
..
Work folder
Personal folder
This folder
That folder
etc


Christie simply drags email from the IMAP account that is needed to be kept, into whatever folder she likes in the .pst structure. This removes the email from the IMAP account on my server. This saves her email locally and keeps my server space down and my wife has the benefit of using the advanced behaviours of IMAP, like the syncing of actions across devices, for instance, if she deletes an IMAP email from her PC, it automatically deletes from her iPad, iPhone, Laptop etc and visa-versa.

It is an option at least. And for us, it’s been the best process.

I'll say this one more time...

If you want to use a POP Gmail account in Outlook 365, then you must use a Google generated app password as your account password when configuring the account. See this link.

  • I've never known what those programs do that purport to be able to 'fix' broken .pst files either

  • I guess I won't be creating any folder structures (which is, incidentally, what I'm trying to do on my Droid/cellphone.

I don't know what caused this post-anomaly. I'm using two monitors under an "extended" (not duplicated) format. I need to do this because a laptop is way too small to handle multiple screens and I need to review earlier parts of this thread and read some of the docs y'all send. Although they both show the same forum post (in different browsers) they sometimes seem to mix the post order within that thread... (strange...kinda like time-warp-multitasking)

Sorry, my mistake.
If you don’t know what a .pst file is, or know how to use one, why are you so insistent of wanting pop3?

Regardless
When pop3 is used, the contents are by default saved into documents/outlook/pstfilename.pst (usually outlook.pst, this can be renamed)
I backup my outlook .pst files religiously, because as you said, it holds all the contacts/calanders and mail saved from a pop3 address. I always, always keep a renamed backup i.e. backup_Outlook.pst

On a fresh windows install and install of office, I create my first IMAP account, I then import the old .pst file and when done, drag it to the top of the left pane of outlook.. As there is no longer a pop3 account associated with it, it simply serves as a folder structure and as I forgot to mention before, holds all your contacts and calendars from your old outlook install which will be back where they used to be and intact, due to them being in the .pst file.

Having said that, ignore the idea. Cross that bridge another time, it’s a different ball game.
Follow the instructions for Gmail pop3 from the help people have previously given you.

Open outlook
Go to “file/account settings/manage profiles/data files
in data files, click “add” open the .pst file.

The .pst will now appear in outlook.
I can’t currently provide screenshots, sorry.

Having said that, ignore the idea. Cross that bridge another time, it’s a different ball game.
Follow the instructions for Gmail pop3 from the help people have previously given you.
I hope I haven't insulted you in any way. I think we both know the differences between pop3 and imap.
But maybe there are different reasons we like to use them.

I want as little (browsers, email, phone messages,...) SYNC'd as possible.

Each of my computers is devoted to a different part of my life and I like having it that way.
- My DAW (Desktop Audio Workstation - it has not been part of any of my posts to this forum - is devoted to music. It hosts the free version of Outlook, all the browsers the others have, but hosting only music-related bookmarks, etc.
- My Win10 Desktop is for my day-to-day emails, work, communication, many technical articles and books (like the Microsoft Azure... book) I download and read. The browsers and plethora of bookmarks it hosts has little to do with music.
- My Win11 laptop (Computer3) is what I'm trying to migrate my Win10 desktop to. I'm moving Outlook.pst to it and may sync (though I don't trust that sync will stop at just migrating bookmarks from the Win10 desktop...) the bookmarks over to it.
- My droid cell-phone MOST IMPORTANTLY does not host any email other than the one account I have loaded onto it (although I can access it by bringing up a browser and going to gmail.com). It is - simply - A TELEPHONE (with AI).

By using POP3 accounts I get to access, use, and store emails any way I want. I know I have a backup on gmail.com (which I periodically have to clean up of so much garbage) and know I have a library of email (past and present) through which (I use Lookeen a search engine that specializes in email searches) I can pursue and ponder the past.

I'm not sure that my phone email isn't imap. I just had the phone install it and accepted whatever it gave me. What I know about imap is that it forces one to make spot decisions on what one is going to do with each email one gets. Imap on a phone seems the equivalent of.............phone email! You hang up and the email in question is gone. from the phone and the server. (btw. on my email settings I don't have all emails scratched after 15 days)

Are you saying that everyone who uses Outlook uses a 16-character password generated by Google? (I don't think so.)

Are you saying that everyone who uses apps uses a different 16-character AppPassword (I'm sticking with AppPassword as one word!) for every app and every device? (I don't think so.)
I have 5 email providers setup in my Outlook that require and use AppPasswords, they NEED to be used or you'l not get any mail traffic.

You came here to ask for advice, you've been given it by multiple people yet you know enough to argue with them all, why haven't you solved your problem yet do you think?

It took Add/Remove programs downwards of 5 seconds to remove it. Though it seems to leave
